Invoice vs. Receipt: What’s the Difference?

Invoices and receipts look similar but do opposite jobs. Sending the wrong one — like an “invoice” for something already paid — tells the client they owe money twice.

Request vs. proofAn invoice is sent before payment: “you owe $1,250, due November 14.” A receipt is issued after payment: “received $1,250 on November 10 — paid in full.”Every invoice should eventually produce either payment (then a receipt) or a follow-up. Every payment you receive should produce a receipt, even for cash where no bank trail exists.
What changes on the documentA receipt drops the due date and payment instructions, and adds the payment date, payment method, and amount received. Many businesses simply stamp the original invoice “PAID” with the date — that works as a receipt. Both need unique sequential numbers, but keep the sequences separate: INV-2026-014 and RCP-2026-014 are different documents.

Frequently asked questions

Can I use an invoice as a receipt?

Yes — mark it “Paid” with the payment date and method. For cash payments, issue a separate receipt to be safe.

Do I have to give receipts?

It is good practice everywhere and legally required in many places for certain transactions. When in doubt, issue one.

What if a client asks for an invoice after paying?

Send the paid invoice marked as a receipt, or a standalone receipt — never a fresh unpaid invoice, or their system may pay twice.
