Invoice Tax Basics: VAT, GST, and Sales Tax on Invoices

Tax is the part of invoicing most likely to get your invoice rejected by a client’s finance team. The rules differ by country, but the principles — and what must appear on the document — are consistent.

The three systems you will meet

VAT (Europe, UK, UAE and many others) and GST (Australia, India, Singapore, Canada and others) are consumption taxes collected at each stage of the supply chain — you charge it, then reclaim what you paid. US sales tax is simpler in concept but fragmented: rates and rules vary by state and locality, and many services are not taxed at all.

The key question everywhere is the same: are you registered? In most systems you only charge the tax once registered, and registration becomes mandatory above a turnover threshold.

What must appear on a tax invoice

Tax invoices must show the tax registration number (VAT number, GSTIN, ABN, TRN), the tax rate applied, the tax amount per line or in total, and usually the words “Tax Invoice.” Missing any of these can invalidate the invoice for the client’s tax reclaim.

Where multiple rates apply (for example India’s GST slabs or Canada’s GST+PST), show each rate’s base and amount separately. One blended tax line is not enough.

Common cross-border situations

Selling to clients abroad often means zero-rating or reverse-charge rules instead of your domestic rate — for example, EU B2B services or exports. These rules are genuinely complex and the penalties for getting them wrong are real.

This guide covers the concepts. For your specific situation — especially cross-border — confirm with an accountant or your tax authority. Tax rules change, and this page cannot replace professional advice.

Frequently asked questions

Do I charge VAT on invoices to foreign clients?

Often not — many countries zero-rate exports or apply reverse-charge for B2B services abroad. The exact treatment depends on both countries’ rules; confirm for your case.

What is a tax invoice vs. a regular invoice?

A tax invoice includes the seller’s tax registration number and shows tax amounts separately, letting the buyer reclaim the tax. Regular invoices lack these elements.

I am not tax-registered. Do I show tax lines?

No — if you are not registered, do not charge or show VAT/GST. Just invoice the net amount. Registering becomes mandatory above your jurisdiction’s threshold.
