Credit Note Template

A credit note (also called a credit memo) is issued when you need to reduce or cancel an amount previously billed. Common reasons include returned goods, billing errors, or agreed discounts. The credit note references the original invoice and keeps your records — and the customer's — accurate and auditable.

Frequently asked questions

What is the difference between a credit note and a refund receipt?

A credit note formally reduces the amount owed on an invoice and can be applied to future invoices, while a refund receipt records money actually returned to the customer. A credit note becomes a refund receipt when you pay the credited amount back in cash.

Do credit notes need their own numbering sequence?

Yes, keep credit notes in a separate sequence from invoices (for example, CN-001). This makes audits easier and keeps tax reporting clean, since credit notes reduce reported revenue.

Can I issue a credit note for a partially returned order?

Yes. List only the returned or corrected line items on the credit note, referencing the original invoice. The original invoice stays valid for the remaining items, and the customer owes only the adjusted balance.
