Service Invoice Template
A service invoice bills for work performed rather than goods sold — consulting, design, repairs, cleaning, legal work, and more. Because there is nothing physical to point at, the descriptions carry the invoice: they must explain what was done, when, and why it is worth the fee.

When to use this
- When billing for professional or trade services
- When the work is project-based or quoted as a fixed fee
- When invoicing after a service call or completed job
- When the client needs a breakdown of services for their records
- When recurring services are billed per visit or per period
Key fields to include
- Detailed description of each service performed
- Date or period when the service was delivered
- Fee per service, hourly rate, or fixed project fee
- Materials or parts supplied, listed separately
- Service location or job reference
- Payment terms and due date
Frequently asked questions
How detailed should service descriptions be?
Specific enough that the client recognises the value: name the task, the outcome, and the time spent. 'Repaired leaking tap in kitchen, parts replaced, tested' beats 'plumbing work' every time.
Should materials be on the same invoice as labour?
Yes, but as separate line items. Splitting labour and materials keeps the invoice transparent and helps the client's own cost tracking.
What if the service took longer than quoted?
Bill per your contract's terms — but tell the client before the invoice arrives. A surprise overage is a dispute; an explained one is usually paid.
